A new employee’s first days, weeks and months are filled with lots of information and we are sure you have lots of questions. This web page is designed to help organize your onboarding experience and put the resources you need in one location that facilitates the learning process and fosters connections with fellow employees.

Onboarding

The onboarding journey will begin once you accept your offer verbally. Then you will receive a hard copy offer letter either by email or in person from Human Resources (HR) (Professionals, Letters of Appointment, Classified Staff) or the Office of the Provost (for Faculty). Once the offer or Letter of Appointment is signed and returned to HR, you will receive an email from HR requesting you complete two forms as soon as possible. One is the background check form and the other is the Personnel Information Sheet.

Please return the completed forms to HR within 2 weeks of receipt. Completing the forms and returning them in advance of your start date will help ensure your email address will be set up and ready to go on your first day. You can email the forms, fax them to 406-496-4138, or mail them to:

Please be aware that whatever email address you list on your background check form is where you will be contacted (via e-mail) by Accurate Background, Inc. The e-mail will come from “CustomerService@accuratebackground.com" and it will reference the University of Montana (UM) as the one who invites you to complete the form. We share this service with UM and that is why it references UM but Montana Tech is requesting it. Accurate Background, Inc. will require that you finish the background check authorization on line via the link provided in the email.

Two Weeks Before Your Start Date

Your supervisor should give you a welcome call or send you a welcome email that includes information such as:

  • Start date reminder
  • Work hours
  • Where to go and check in
  • Location information, address, parking instructions, etc.
  • Dress code
  • First day schedule
  • Items you need to bring (includin Visa information if applicable)

Onboarding Tasks

It is highly recommended that you contact HR at 406-496-4380 or email HR and schedule an appointment to come in and complete the remainder of your new hire paperwork and to pick up your benefits information and packet at least two weeks before your first day of work.

If your start date changes for any reason, you must contact HR immediately and let them know.

The human resources office is located in the Mining and Geology Building Room 205.

Eligibility to Work in the USA

In addition to forms relating to withholding, personal information, and benefits, you will be asked to complete Section 1 of the INS Form I-9. This form will instruct you to provide documents to prove your identity and eligibility to work in the United States, which the law requires of all US employers. Please bring the original documents (copies are not acceptable) for verification on or before the day you begin work; failure to do so may necessitate a delay in your start date.

Benefit Elections

Benefits are effective on your date of hire, but you cannot enroll until you receive an email from HR letting you know that system is ready to recognize and accept your elections. This can take a week or two depending on when you completed your new hire paperwork.

New Hire Orientation & Safety Training

All employees are required to either attend a New Hire Orientation & Safety Training, or watch the videos. Live Orientations are held once per year in August, or they are recorded and are available on the website at the following link. Click here. (Link Pending)

You should complete the new employee checklist with the help of your manager/supervisor or assigned mentor, if applicable.
